The Challenge

The Reeve Foundation faced a critical data integration challenge. Their custom CRM and HubSpot marketing platform contained overlapping information for the same individuals creating potential for data duplication and workflow inefficiencies. The marketing team lacked access to the comprehensive relationship histories stored in the CRM, and a standard integration risked creating duplicate records and fragmenting record relationships.

The Solution

iS2 Digital started the engagement with pre-production discovery meetings, working with stakeholders to identify needs, concerns and potential bottlenecks in the process. The outcome was a detailed field mapping between the custom CRM and HubSpot, and a three-part implementation which would be developed sequentially but released simultaneously for the most effective control over the data integration.

First was an automated one-way data transfer from public CRM intake forms into HubSpot, creating a new contact or updating an existing contact. Second was an historical data transfer from the CRM to HubSpot. And finally an scheduled one-way data transfer from the admin side of the CRM into HubSpot, creating a new contact or updating an existing contact.

The engagement of connecting the Reeve Foundation's custom CRM, containing over 100,000 contact records, with their HubSpot marketing platform was mission critical. iS2's methodology included comprehensive field mapping to handle complex data relationships, API-driven real-time and triggered synchronizations, and robust duplicate prevention protocols that protected the integrity of existing relationship histories essential for community support work.

The implementation delivered exceptional results: zero bugs at launch, no data loss or corruption, and perfect operation for over a year since deployment.
